You own Your Data

Software Works for You Ltd provides systems that store information that is entered by You.

The Data entered by You remains Your Property and Software Works for You Ltd will not use nor make available for use any of this personally identifiable information without Your permission.

The Data entered, or imported on instruction, by You is stored securely on our systems. Your device ID is used for analytics related to your account.

It is Your responsibility to keep Your password safe, your browser and systems up to date, virus and malware free.

Software Works for You Ltd, Software Works for You Ltd’s staff and Software Works for You Ltd’s partners can access your data and will do solely to:

Your Data is sent securely across the Internet

Software Works for You Ltd’s servers have SSL Certificates issued by leading certificate authorities, so all Data transferred between users and the Service is encrypted. However, the Internet is not in itself a secure environment. Users should only enter Data to the database within a secure environment. This means that Your browser must support the encryption security used in connection with the Service.

Access and storage controls via the Service are however administered by Software Works for You Ltd as the custodian of that Data.

How we use your Google account data (Sign in with Google)

If you choose to sign up or log in with Google, Gas Engineer Software receives your name, email address and profile picture from your Google account. We do not access your Gmail, contacts, calendar, Google Drive or any other Google data.

We use this information to create your account, sign you in and show your name in the app. Your email address becomes your account email address, and we use it to contact you as described in “How we contact You by email” below.

A hashed (encrypted) version of your email address may be shared with our advertising partners to measure and improve our advertising, as described in “Analytics & Advertising” below. This applies to all accounts, however you sign up whether via the Web Portal or the Mobile Apps. We do not sell Google user data or share it with anyone else except where required by law.

Your Google account data is stored securely with the rest of your account and deleted in line with “Software Works for You Ltd will give you access to Your Data at any time” below. You can also ask us to delete it sooner by emailing support@gasengineersoftware.co.uk. You can remove our access to your Google account at any time at myaccount.google.com/permissions.

Gas Engineer Software’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

How we use your Apple account data (Sign in with Apple)

If you choose to sign up or log in with Apple, Gas Engineer Software receives your name and email address from Apple. If you choose Apple’s “Hide My Email” option, we receive a private relay address instead of your real email address, and Apple forwards our emails to you. We do not receive any other data from your Apple account.

We use this information to create your account, sign you in and show your name in the app. The email address becomes your account email address, and we use it to contact you as described in “How we contact You by email” below.

You can stop using Sign in with Apple for Gas Engineer Software at any time in your iPhone settings. Tap your name, then Sign in with Apple.

Software Works for You Ltd does not store Your credit card details

If you pay for the Service by card, your payment is handled by our subscription billing provider, Chargebee, and its payment processors, Stripe and GoCardless.

Your full card details are never stored on Software Works for You Ltd’s systems. They’re encrypted and held by these PCI DSS-compliant providers so we can bill your subscription automatically. Our staff can see only limited details, such as the card type, last four digits and expiry date, to help with billing queries.

Software Works for You Ltd will give you access to Your Data at any time

Provided You have met Your obligations under the Service Terms of Use, you can download your data at anytime via the website.

Data may be permanently deleted by Software Works for You Ltd 40 days after You stop paying for the Service or at Your request.

Cookies and similar technologies

The Service and our website use cookies and similar technical measures to keep the Service working, to understand how it is used, to monitor traffic patterns, and to support our advertising (see “Analytics & Advertising” below). Some cookies are necessary for the Service to function; others — including analytics and advertising cookies — are only used where You have given Your consent through our website cookie banner (https://gasengineersoftware.co.uk/) or via signing up for the software on the mobile apps or web portal (https://live.gasengineersoftware.co.uk/). You can manage cookies through Your browser settings.

Software Works for You Ltd will not sell or otherwise provide Your personal information to a third party, or make any other use of personal information about You for any purpose which is not incidental to the normal use of the Service, except as described in this Privacy Policy.

How we contact You by email

Software Works for You Ltd sends two types of email:

Service emails — these relate to Your account and Your use of the Service, and include billing and payment information, Service updates, security notices, trial information and other notifications necessary to provide the Service to You. Because these emails are necessary to operate the Service, they are sent to all users and cannot be opted out of while You hold an account or trial with us.

Marketing emails — from time to time we also send marketing emails about our own products and services, including tips and guidance to help You get the most out of Your trial or subscription, product news, offers and related content. For customers and trial users signed up to the Software, we rely on the “soft opt-in” under the Privacy and Electronic Communications Regulations to send these: we contact You because You provided Your details when registering for, or trialling, the Service, and we only ever promote our own similar products and services. For other leads, we will only send marketing emails if you explicity opt-in at the time of providing your email address.

You can opt out at any time — every marketing email contains a clear and simple unsubscribe option, or You can email us using the contact details below. Opting out of marketing emails will not affect the service emails described above.

Analytics & Advertising

We use Meta Business Tools (such as the Meta Pixel, Conversions API, and App SDK) to understand how people use our website and app and to improve our advertising. These tools may collect limited information like device type, pages visited, or interactions with our content. Some details (for example, an email address) may be securely hashed and shared with Meta for analytics.

You can change your preferences at any time or opt out of personalised ads via YourOnlineChoices.eu or AboutAds.info/choices. For more on how Meta uses data, see Meta’s Privacy Policy.

We also use Google Ads conversion tracking, including Enhanced Conversions. This may share a hashed version of your email address with Google to measure our advertising.

Use of the Service is subject to Software Works for You Ltd’s Terms of Use, and this Privacy Policy should be read together with them. In the event of any conflict between this Privacy Policy and the Terms of Use, this Privacy Policy will prevail in relation to the processing of personal data and matters of privacy and data protection; the Terms of Use will prevail in relation to all other matters.
